• Manage and maintain the executive’s calendar, including scheduling meetings, appointments, and travel arrangements.
• Coordinate internal and external meetings, ensuring all logistical details are arranged.
• Prepare agendas, take minutes, and follow up on action items from meetings.
• Draft, proofread, and edit correspondence, presentations, and reports.
• Conduct research, analyze data, and prepare executive summaries to assist in decision-making.
• Provide insights and recommendations on key business initiatives.
• Collaborate with cross-functional teams to ensure alignment on organizational priorities.
• Act as the primary point of contact for internal and external stakeholders on matters related to the executive office.
• Screen and prioritize emails, calls, and other communications.
• Prepare and deliver professional communications on behalf of top management.
• Manage special projects assigned by top management, ensuring timely and successful completion.
• Track project progress, identify roadblocks, and propose solutions.
• Ensure all projects align with the strategic goals of the organization.
• Maintain a high level of confidentiality and professionalism in all tasks.
• Develop and streamline administrative processes to enhance efficiency.
• Manage expense reports, budgets, and reimbursements related to the executive office.
• Oversee and coordinate the activities of the secretarial and administrative team to ensure smooth operations.
• Provide guidance, mentorship, and support to team members.
• Establish clear goals and expectations, ensuring alignment with organizational priorities.
• Organize detailed travel itineraries and ensure smooth travel arrangements.
• Plan and coordinate executive events, conferences, and meetings.
Kualifikasi
• Bachelor’s degree in Business Administration, Management, or a related field. Master’s degree preferred.
• Minimum of 8 years of experience in an executive assistant or similar role supporting senior management.
• Proven experience in managing a team, especially in secretarial or administrative functions.
• Experience in a fast-paced, multinational environment is an advantage.
• Exceptional organizational and time-management skills.
• Strong interpersonal and communication abilities.
• Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and collaboration tools (e.g., Chat GPT, Zoom, Teams).
• Analytical mindset with the ability to prepare data-driven reports and presentations.
• Strong team management and leadership skills.
• Multilingual proficiency is a plus (e.g., English, Chinese, or other relevant languages).
