Kewajiban
• Provide comprehensive administrative support to executive assistant’s members, including managing schedules and appointments.
• Coordinate logistics for a variety of events (e.g., internal meetings, corporate functions), including sending invitations, managing RSVPs, and handling post-event follow-ups.
• Prioritize tasks and manage time effectively to meet tight deadlines.
• Create and design PowerPoint presentations and Word documents; basic proficiency in graphic design tools is a plus.
• Oversee office duties such as sourcing supplies, managing VIP visitor badges, and maintaining swag inventory.
• Maintain and organize confidential documents and records; assist EA team members with administrative tasks.
• Identify and suggest process improvements to enhance workflow efficiency.
• Incorporate feedback to continuously improve processes and encourage team collaboration.
• Assist with financial tasks, including processing cash advances and expense reimbursements using [Expense Management System].
• Plan and coordinate catering services for executive meetings and events, including vendor negotiation and budget management.
• Provide ad-hoc support as required, swiftly handling urgent matters.
• Facilitate meetings for executive members by preparing agendas, scheduling.
Kualifikasi
• Strong organizational and time management skills.
• Excellent communication skills, both written and verbal.
• Proficiency in Microsoft Office Suite (PowerPoint, Word, Excel).
• Ability to work independently and as part of a team.
• Experience in event coordination is a plus.
• Attention to detail and problem-solving skills.
• Ability to handle confidential information with discretion.
