About this position

The Executive Secretary will provide comprehensive administrative support to the MD & CEO, ensuring efficient management of schedules, meetings, travel, and communication while handling confidential information with professionalism.

Responsibilities

• Efficiently manage the MD & CEO calendar, scheduling meetings, appointments, and travel arrangements.
• Prioritize appointments and ensure timely execution of tasks.
• Organize and coordinate meetings, including preparing agendas, booking meeting rooms, and distributing meeting materials.
• Take accurate and detailed meeting minutes and distribute them to relevant parties.
• Book and arrange domestic and international travel, including flights, accommodations, and transportation.
• Prepare detailed travel itineraries and expense reports.
• Effectively communicate with internal and external.
• Handle incoming calls and emails, responding to inquiries and routing them to appropriate individuals.
• Handle sensitive and confidential information with the utmost discretion and professionalism.
• Handle a variety of administrative tasks, such as managing correspondence, filing, and record-keeping.
• Prepare presentations, reports, and other documents as needed.
• Provide support for HR & Admin department tasks.
• Perform other duties as assigned by the HR Manager.

Requirements

• Bachelor’s degree in Business Administration or any fields.
• Proven experience as an Executive Secretary or similar role.
• Excellent organizational and multitasking skills.
• Excellent command of English skills both spoken and written.
• Strong written and verbal communication abilities.
• Proficiency in MS Office (Word, Excel, PowerPoint).
• Strong problem-solving and interpersonal skills.
• Proactive, detail-oriented, and resourceful.
• High level of confidentiality and professionalism.
• Flexibility in terms of working hours.
