The Event Coordinator is responsible for overseeing projects and managing on-site event operations from start to finish, ensuring everything runs smoothly.
Responsibilities
• Oversee projects and manage on-site event operations from start to finish, ensuring everything runs smoothly.
• Arrange and organize all equipment related to the event.
• Recruit on-site teams, including Supervisors, Staff, and MCs, relevant to the event.
• Control the event process from pre-event preparations to the day of the event, and handle any on-site issues.
• Compile a comprehensive post-event report covering sales figures, stock levels, structures, and other campaign-related aspects.
• Manage assigned tasks efficiently.
• Negotiate with team members, supervisors, staff, or transport providers to achieve the best outcomes.
• Explore new options or solutions that meet client needs, focusing on both operations and cost savings.
• Clear and manage documentation and systems with the on-site team and finance department within the company's timeframe.
• Handle other assigned duties.
• Be prepared for occasional out-of-town work and nighttime shifts (with allowances and travel expenses reimbursed as per actual costs).
Requirements
• Experience in event planning or execution.
• Access to a pool of on-site team members, including Supervisors, Staff, and MCs, relevant to events.
• High level of responsibility.
• Willingness to work irregular hours.
• Strong problem-solving skills, especially in unexpected situations.
• Proficiency in Microsoft Office and capable of preparing reports.
• Excellent coordination and communication skills.
