Sales Operation (Contract)
About this position
The Sales Operation (Contract) position involves managing sales orders, overseeing stock management, generating reports, and supporting administrative tasks to ensure efficient order processing and delivery.
Responsibilities
Complete, manage and follow up sales orders and delivery
• Handling customer orders from start to finish. It includes entering orders into the system, ensuring all details are correct, and confirming that the order is processed in a timely manner.
• Overseeing the entire order cycle. It includes tracking orders, managing any issues that arise, and ensuring that orders are fulfilled according to customer requirements.
• Checking on the status of orders, ensuring they are on track, and communicating with customers about their order status. It may also involve resolving any issues that come up during the order process.
• Ensuring that deliveries are made on time and to the correct location. It involves coordinating with delivery teams and addressing any delivery issues that may arise.
Stock Management
• Keeping track of inventory levels, ensuring that stock is replenished as needed, and managing stock to prevent overstocking or stockouts. It includes regular stock checks and updating inventory records.
• Coordinate with CD, Stakeholders or Cross-functional Teams for Processing Efficiency
• Working closely with the Customer Development team to streamline order processing and improve efficiency.
• Collaborating with various departments (like sales, WH, logistics....) to ensure that the order processing system is efficient and effective. It involves communication and coordination to solve any issues and improve processes.
Generating and Analyzing Reports
• Creating regular and ad-hoc reports that summarize sales data, performance metrics, and other relevant information.
• Reviewing the data to identify trends, issues, and opportunities for improvement. This analysis helps in making informed business decisions.
Document and Admin Task Support
• Managing and maintaining all documentation related to orders, deliveries, and inventory. It includes ensuring that all records are accurate and up-to-date, and that documents are filed and accessible as needed.
• Managing day-to-day administrative duties such as scheduling, filing, and communication within your area of responsibility
Other Project Responsibilities as Assigned
• Taking on additional tasks and projects as needed. These could vary widely depending on the needs of the business and might include special initiatives, process improvements, or other duties assigned by management.
Requirements
Experience & Qualification
• 3-5 years of experience in sales operations or sales support roles.
• Excellent ability to handle multiple tasks simultaneously while prioritizing effectively.
• Excellent communication and interpersonal skills, with the ability to build connection and collaborate effectively with internal teams and external partners.
• Exceptionally organized, focuses on details, and committed to delivering top-quality work.
