GA Supervisor
About this position
The GA Supervisor is responsible for overseeing facility management, procurement, vendor relationships, employee services, travel logistics, event planning, health and safety compliance, budget management, document management, cross-functional collaboration, and problem-solving within the organization.
Responsibilities
• Facility Management: Supervise and ensure all facilities and cleanliness of the office premises, including repairs, renovations, security, and space utilization.
• Procurement: Manage procurement processes and positive negotiate with vendors.
• Vendor Relationships: Establish and maintain relationships with various vendors, service providers, and contractors to ensure quality service delivery and competitive pricing.
• Employee Services: Coordinate employee services such as transportation, accommodation, catering, and other facilities to support employee well-being and comfort.
• Travel and Logistics: Arrange travel logistics for employees, including bookings, visas, and travel insurance, if required.
• Event Planning: Organize and coordinate company events, meetings, workshops, and other gatherings.
• Health and Safety: Ensure compliance with health and safety regulations and promote a safe working environment for all employees.
• Budget Management: Assist in preparing and managing the budget for general affairs activities, ensuring cost-effectiveness and efficient resource allocation.
• Document Management: Maintain and organize administrative records, contracts, agreements, and other documentation.
• Cross-functional Collaboration: Collaborate with other departments to support organizational initiatives and projects.
• Problem Solving: Address and resolve operational issues and challenges in a timely and effective manner.
Requirements
• Proven experience in general affairs, facilities management, or related administrative roles at least 5 years in manufacturing field.
• Excellent communication, interpersonal abilities, analyst, organizational, and multitasking skills.
• Leadership and supervisory skills to manage a team effectively.
• Knowledge of office management systems and procedures.
• Negotiation skills for vendor management and procurement activities.
• Attention to detail and ability to work under pressure.
• Familiarity with health and safety regulations and compliance.
• Problem-solving mindset and ability to make sound decisions.
• Ability to adapt to changing priorities and business needs.
• Project management skills to manage multiple tasks initiatives concurrently.
