About this position

The Administrator, Operations is responsible for managing the invoicing process, coordinating fuel dispatching, and ensuring compliance with accounting requirements while providing administrative support to terminal leadership.

Responsibilities

• Execute the invoicing process of fuels and products delivery from terminal to customers
• Manage the third party and/or proprietary facilities according to the dispatch/product transfer schedules
• Handle daily invoices, debit and credit note charges to statement of accounts as well as special adjustments including pricing variation control according to the products and special conditions in compliance with the internal controls and accounting requirements
• Handle daily payments from customers and verify the payment respondence regarding the amount of invoice, cash and credit transactions
• Assemble and coordinate the daily plans for the fuels dispatching orders received from customer service in accordance with the fleet optimization procedures via resources allocation
• Coordinate any fuels delivery related to the troubleshooting that may arise with proprietary fleets, contractors, customer services support and back-office systems in order to ensure safety and reliability of the fleet operations
• Be responsible for all documents required regarding the dispatching issues, daily fuels dispatching reports and filing system maintenance for back-office support of all delivery transaction processes including the maintenance of customer delivery reliability's metric database
• Manage and reconcile all invoices according to the approved accounting and compliance requirements
• Assist Terminal Manager in maintaining operating and cost data, OPEX and CAPEX spendings. Work with Finance to identify and correct discrepancies/issues. Perform stock reconciliation and invoicing for proprietary, third-party terminal or facilities
• Ensure accounts receivable, payable system data and all vendor information are updated.
• Provide administrative support on the compliance tracking

Requirements

• At least Bachelor's Degree in Sciences, Engineering, Business Administration, Accounting or related fields
• Minimum 5 years of experience in the dispatching & documentation handlings with proven leadership
• Able to lead and motivate the team with superior performance and maximum output delivery
• Able to make decisions based on the data driven
• Self-leadership and able to work under pressure
• Good interpersonal and communication skills
• Good team player, initiative, process improvement
• Worktime flexibility e.g. ability to work at weekend and shifts sometimes
