About this position

The Executive Assistant to the General Manager is a pivotal role that ensures the leadership functions at its highest capacity, aligning with the organization’s mission and enhancing overall operational excellence.

Responsibilities

• Administrative Support: Provide comprehensive administrative assistance to the General Manager, including managing calendars, scheduling meetings, coordinating travel arrangements, and as per assigned.
• Meeting Coordination: Organize and prepare materials for meetings, take minutes, and follow up on action items to ensure timely completion. Support event participants on logistics, document for visa application as per assigned.
• Communication Liaison: Act as the primary point of contact between the General Manager and internal/external stakeholders, ensuring clear and efficient communication.
• Document Management: Prepare, review, and maintain documents, reports, presentations including the customer contracts to ensure accuracy and confidentiality.
• Office Management: Act as the office representative and handle payment for office expenses eg. Office rental, phone card. Oversee office operations, including maintaining supplies, coordinating with vendors, and ensuring a professional work environment.

Requirements

• Bachelor's degree in Business Administration or a related field is often preferred.
• Experienced as an Executive Assistant or Secretary for 6 – 10 years.
• Able to communicate in English fluently.
• Excelled in a fast-paced, high-volume setting, managing multiple tasks simultaneously and effectively prioritizing responsibilities.
