Personal Assistant
About this position
The Personal Assistant will support the CPTO by managing their schedule, handling communications, preparing documents, and assisting with special projects, contributing to the overall success of the department and organization.
Responsibilities
• Organize and manage the CPTO's schedule, including arranging appointments, meetings, and travel arrangements.
• Act as a primary point of contact for internal and external communications directed to the CPTO, screening and prioritizing emails, calls, and other correspondence.
• Prepare and edit reports, presentations, and other documents as required by the CPTO, ensuring accuracy and adherence to company standards.
• Coordinate meetings, conferences, and workshops, including scheduling, agenda preparation, and minute-taking.
• Handle confidential information with discretion and professionalism, maintaining the highest level of confidentiality at all times.
• Assist the CPTO in special projects and initiatives as assigned, contributing to the overall success of the department and organization.
Requirements
• Bachelor's degree in Business Administration, Management, or related field preferred.
• Proven experience as an executive assistant or personal assistant, preferably supporting management.
• Able to drive a car and have a driver's license.
• Strong organizational and time-management skills, with the ability to multitask and prioritize effectively.
• Excellent communication skills, both written and verbal, with the ability to interact professionally with individuals at all levels.
• Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software applications.
• Ability to work independently.
