Executive Secretary
About this position
The Executive Secretary will be responsible for providing administrative support to ensure efficient operation of the office.
Responsibilities
• Prepare and distribute daily and weekly reports.
• Assist in creating monthly and quarterly reports.
• Compile and track claims, reimbursements, and related documentation.
• Manage incidental requests such as travel arrangements, car rentals, and accommodation bookings.
• Handle and file documentation related to internal operations.
• Organize and maintain an updated calendar of events, meetings, and tasks.
• Assist in the preparation of meeting materials and record minutes as needed.
• Liaise with various departments and executives for the smooth execution of tasks.
• Assist with the COO's personal needs, including managing personal appointments, travel, and other administrative tasks as required.
Requirements
• Bachelor's degree in Business Administration, Management, or a related field.
• Experience as a Secretary or in a similar administrative role.
• Proficient in Microsoft Office Suite (Word, Excel, PowerPoint).
• Strong organizational and multitasking abilities.
• Excellent communication skills in both English and Bahasa, verbal and written.
