Secretary for Business Unit
About this position
Responsibilities
• Assist Head of Business Unit and team in secretarial duties in managing their job and responsibility run smoothly by organizing their activities/program calendar, including scheduling meetings, appointments, and travel arrangements.
• Arrange visitor’s visit program (incl. accommodation and transportation) and coordinate with relevant internal or external stakeholders.
• Assisting Head of Business Unit and team in consolidating data from other units to provide timely feedback, prepare meeting agendas, materials, and minutes; follow up on action items.
• Update filing system to accommodate changes due to business development and maintain all documents properly to be easily retrieve. This will include preparing necessary letters for the purpose of his/her superior as well as the employees.
• Conduct specific support activities required by Business Unit such as logistics for meetings and events, including venue and catering arrangements.
• Handle confidential information with integrity & stay informed about company policies and industry trends.
Requirements
• Proven experience as an executive secretary, preferably supporting senior executives in corporate environment minimum for 3-5 years.
• Exceptional organizational and time management skills, with the ability to prioritize tasks effectively.
• Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software.
• Ability to maintain professionalism and confidentiality in all interactions.
• Strong problem-solving skills and the ability to work independently & cross-functionally with minimal supervision.
• Excellent communication and interpersonal skills in English and Bahasa Indonesia.
