Executive Assistant
About this position
Responsibilities
• Manage the executive’s daily schedule, including meetings, appointments, and travel arrangements.
• Prioritize and coordinate conflicting appointments, ensuring optimal time management.
• Maintain a forward-looking calendar to anticipate upcoming commitments.
• Act as the primary point of contact between the executive and internal/external stakeholders.
• Handle confidential correspondence and sensitive information with discretion.
• Schedule, organize, and prepare agendas and materials for meetings.
• Record, distribute, and follow up on meeting minutes and action items.
• Liaise with cross-functional teams to ensure preparation for key discussions.
• Support the executive in managing projects, tracking deadlines, and ensuring timely completion of deliverables.
• Research and provide insights or recommendations on special projects or initiatives.
• Maintain a centralized system for task and project tracking.
• Arrange domestic and international travel, including flights, accommodations, and itineraries.
• Plan and coordinate logistics for events, conferences, or speaking engagements.
• Ensure seamless travel experiences by anticipating potential challenges.
Requirements
• Fluent English proficiency (both written and spoken) with excellent communication skills.
• Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint)
• Exceptional organizational and time-management skills.
• Strong interpersonal skills with the ability to build relationships at all levels.
• High level of confidentiality and professionalism.
• Flexible and adaptable to changing priorities in a fast-paced environment.
