Secretary to the Executive Vice President
About this position
Responsibilities
• Manage and organize the EVP’s calendar, schedule meetings, and coordinate appointments.
• Prepare meeting agendas, take minutes, and follow up on action items.
• Handle incoming correspondence, emails, and calls, ensuring timely responses.
• Draft, edit, and proofread reports, presentations, and other documents as required.
• Maintain and organize confidential files and records for easy access and retrieval.
• Serve as the primary point of contact between the EVP and internal/external stakeholders.
• Liaise with department heads, clients, and business partners to facilitate effective communication.
• Coordinate with other executives’ assistants to ensure alignment on schedules and projects.
• Assist in planning and executing events, conferences, and key initiatives led by the EVP.
• Monitor project timelines and ensure deadlines are met.
• Arrange and manage travel itineraries, accommodations, and transportation for the EVP.
• Handle expense reports and ensure timely reimbursement and record-keeping.
Requirements
• Bachelor’s degree in Business Administration, Communications, or a related field.
• Experience: 5+ years of experience as a secretary or executive assistant, preferably in the retail industry.
• Strong organizational and multitasking abilities.
• Excellent verbal and written communication skills.
• Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
• Discretion and the ability to handle confidential information.
