About this position
The Administrator will be responsible for coordinating the interview process, managing candidate communication, and supporting recruitment efforts to enhance the overall efficiency and candidate experience.
Responsibilities
Key Responsibilities:
• Schedule interviews, including phone, virtual, and in-person meetings, for candidates and hiring managers.
• Coordinate with candidates and internal stakeholders to ensure availability and alignment.
• Manage interview logistics such as booking rooms, setting up virtual meetings, and ensuring all participants have the necessary information.
• Serve as the primary point of contact for candidates throughout the interview process.
• Send interview confirmations and details to candidates in a timely and professional manner.
• Provide prompt responses to any candidate inquiries or concerns.
• Screen CVs and resumes to identify qualified candidates based on job requirements.
• Assist recruiters in posting job advertisements and managing applicant tracking systems (ATS).
• Organize and maintain recruitment documents and records, including resumes, interview notes, and offer letters.
• Send offer approval emails to internal stakeholders, ensuring all necessary approvals are obtained.
• Follow up with relevant parties on offer status and approvals in a timely manner to avoid delays.
• Follow up with interviewers to gather timely feedback on candidates post-interview.
• Ensure that all feedback is documented properly and provided to the recruitment team for review.
• Identify opportunities to streamline the interview coordination process.
• Work with the recruitment team to implement changes that enhance efficiency and the candidate experience.
• Track and report on interview progress, including scheduling, feedback, and candidate pipeline status.
• Provide weekly updates to the recruitment team regarding interview schedules and candidate status.
Requirements
Qualifications:
• Bachelor’s degree in Human Resources, Business, or a related field (or equivalent experience).
• 1-3 years of experience in recruitment coordination or a similar administrative role.
• Strong organizational skills and attention to detail.
• Excellent written and verbal communication skills in English.
• Ability to multitask and manage time effectively in a fast-paced environment.
• Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and experience with ATS software.
Desired Skills:
• Familiarity with HR systems, recruitment software, and candidate databases.
• Experience coordinating high-volume interview schedules.
• Strong interpersonal skills and the ability to work collaboratively with different teams.
