About this position

This role provides reception, office and facility support for the Six Senses Bangkok Office and reports directly to the Human Resources Director. It performs a variety of office/facility administrative duties to ensure that the support office can perform with maximum effectiveness and impact.

Responsibilities

• Reception Services for Six Senses Bangkok Office:
• Provide a professional and customer focused service to all customers and internal visitors ensuring that their first impression of the company is at the highest standard.
• Responsible for all pro-active and day-to-day facilities issues, including provision of Reception and Mail Room, managing and facilitating postage, courier services in and outbound.
• Responsible to supervise the administrator.

• Office coordination for Six Senses Bangkok Office, including the following:
• Responsible for maintaining the office facility, environment safe, clean and tidy.
• Ensure office safety in cooperation with the risk management team.
• Communicate with the building management office for facility matters, i.e. office environment inspections and fire drills.
• Responsible for keeping track of all office services related contracts and budget. Ensure timely negotiations with vendors on renewals, processing and payments.
• Ensure office equipment/ furniture is in working order, liaising with contractors/ vendors to replace/ service as appropriate.
• Coordinating and responsible for internal office seating plan, workstation allocation, moves and renovation projects.
• Processing invoices relating to Six Senses Bangkok Office and ensure timely payments (office rentals, electricity, vendors etc.).
• Stock control, purchase of office stationery, pantry F&B and incidentals, pest control service and office big cleaning.
• Coordination and supporting of office meetings and event logistics, manage ad-hoc catering within allocated budget.
• Manage and disseminate related office communications on the Six Senses Bangkok Office or email.
• Prepare building access card for new hires and maintain security of key cards.
• Update Six Senses contact and distribution lists.
• Managing and supervising cleaners on their day-to-day operations.
• Support the Bangkok office Mission Wellness program by working with the Human Resources Director and Wellness Team on coordinating, plan facilitating wellness-related activities, training and events and schedule any activities and events on a monthly calendar and consolidate attendance accordingly.

• Safe Management Officer responsibilities:
• Carrying out the duties and responsibilities of a Safe Management Officer (SMO) as outlined.
• Ensure the office environment and related information are adhered according to the Government protocols and guidance.

Requirements

• Bachelor’s degree in Business, preferably in Administrative or Hospitality Management.
• Former secretarial qualification, excellent command of English, typing, correspondence drafting and writing.
