Administration Manager (Chinese Speaking)
About this position
The Administration Manager (Chinese Speaking) is responsible for overseeing office and warehouse management, ensuring efficient operations, and providing administrative support while facilitating visa and work permit processes for expatriates.
Responsibilities
• Office and warehouse management:
• Prepare and propose for new start up office, warehouse, workshop in terms of tenancy agreement, local license application, safety & security system, renovation and decoration, and maintenance of work place arrangements;
• Oversee day-to-day office operations, ensuring a productive and efficient working environment;
• Develop and implement office policies and procedures to improve efficiency;
• Coordinate with internal team-members that is related to warehouse permit registration and distribution matters;
• Ensure that no late payment of all monthly utilities and renew all license(s) relevant to workplace including office and warehouses;
• Manage office supplies, stationaries, equipment, office systems, company fixed assets, and facilities to ensure smooth operations including workplace maintenance, housekeeping arrangements and security;
• Managing and coordinating with vendors to proceed expatriates’ condominium, hotel lease agreement, company vehicle lease agreement, and related payment process;
• Perform general administrative duties including but not limited to license application, admin documentations, e-filling system and utilities claims processing, company stamps management, comply to SOP and update documentations, ensure an effective filing and records system;
• Facilitating visa and work permit processes for expatriates according to timeline and compliance, including coordinate with external vendor to obtain visa and work permit for expatriates, notify 90 days of stay, as well as data tracking of visa and work permit expiry date;
• Respond appropriately to regulatory requests or concerns without penalty;
• Identify and address problems and opportunities in the general administrative management of the company and to provide solutions to department leaders;
• Provide general administrative support and report to Thailand head-office & HQ Management;
• Other tasks and ad hoc duties as and when assigned by superiors.
Requirements
• Bachelor's degree in Humanities, Arts, Political Science, Business Administration, or related field;
• At least 5 years of relevant experience in General Administration functions;
• Fluent in Chinese and English;
• Good fundamental in computer literacy such as MS Office (Word, Excel, and PowerPoint);
• Excellent cross-departmental coordination and communication skills, with strong ability to handle pressure;
• Able to work in a fast-paced environment.
