Executive Assistant - MD and DMDs (Business Administration - Office Support)
About this position
The Executive Assistant will ensure that the Managing Directors (MD) and Deputy Managing Directors (DMDs) achieve their objectives and goals effectively and on time, while managing relationships with stakeholders and providing crucial executive support.
Responsibilities
• Ensure and facilitate the Managing Directors (MD), and Deputy Managing Directors (DMDs) objectives and goals will be achieved as planned with effective results according to the target timeline.
• Be an intermediary to manage and control the transaction and relationship between MD & DMDs and all relevant stakeholders, and oversee the difficulty and restriction, and seek the plan to mitigate the risk to ensure the good relationship & reputation of the Company and MD & DMDs.
• Provide crucial executive support to the management, including conducting research, data analysis, and preparing information to support management decision-making.
• Preparing accurate and detailed professional correspondence and reports.
• Ensure the compliance of management transactions under DOA, Law and Regulation, CA, CTA, Shareholder agreement, etc., and warn of any possibility of a breach.
• Oversight for the MD's office, including budget planning and ensuring efficient operations and prudent budget usage.
• Schedule Management: Ensure and facilitate the management objective and work plan will be achieved as planned with effective results according to the target timeline including Minimize the workload of Management, and reduce the obstruction of the working environment.
• Team Collaboration: Ensure a good relationship & reputation between Management and all stakeholders e.g. Board members, Shareholders, Vendors, Employees, GOL, etc. Ensuring all functions in the company is understand the MD & DMDs direction, and willing to cooperate in the same way.
• Policy and Procedure Compliance: Ensure compliance with management transactions under DOA, law and Regulations, CA, CTA, Shareholder Agreements, etc. and promptly alert to any potential breaches.
• Information and Research: Conduct research, data analysis, and prepare information to support management decision-making. It emphasizes handling sensitive information with the utmost discretion.
• Document Management: Providing comprehensive administrative support, including document preparation and data management. Ensure accurate and timely reporting, prepare and edit documents for management, and maintain organized, confidential filing systems with discretion.
• Correspondence Management: Preparing accurate and detailed professional correspondence and reports. It includes drafting executive-related communications and managing meeting minutes as required.
• Office Management: Oversee the MD's office, including budget planning, and ensure efficient operations and prudent budget usage.
Requirements
• Bachelor / Master’s Degree in any field.
• Experience 5-15 years, Minimum 5 years in executive assistant works.
• Good in time management, extremely fast at solving problems, and Ability to organize a daily workload by prioritizing.
• Good Interpersonal and Communication skills.
• Analytical skills.
• Excellent management, time-management, and problem-solving skills.
• Proactive and good judgment.
• Understand company rules and regulations.
• Circumspect nature.
• Excellent in English both verbal and written skills (TOEIC score 600).
