About this position

The Personal Assistant to BODs will be responsible for managing information flow, organizing meetings, handling correspondence, and providing administrative support to the Board of Directors.

Responsibilities

• Act as point of contact between BODs, clients, employees and other stakeholders.
• Manage information flow in a timely and accurate manner.
• Chase responses to requests and emails to/from BODs.
• Manage BODs calendar, set up meetings and accurately take minutes from meetings.
• Prepare materials, packets and presentations for BOD’s meetings.
• Organize the logistics of board meetings and other key internal meetings.
• Coordinate and distribute notes at management meetings as requested.
• Type up notes of the BODs as requested.
• Organize and arrange venues for all other meetings requested by BODs.
• Screen and direct phone calls and distribute correspondence, as well as opening, sorting and distributing incoming emails.
• Handling basic bookkeeping tasks and provide general administrative support.
• Filing and retrieving corporate records, documents, and reports.
• Researching and conducting data to prepare documents for review and presentation by BODs.
• Greeting visitors and deciding if they should be able to meet with BODs.
• Using various software, including word processing, spreadsheets, databases, and presentation software.
• Reading and analyzing incoming memos, submissions, and distributing them as needed.
• Making travel arrangements for BODs.
• Other duties as assigned by BODs

Requirements

• Minimum 5 years experiences as Personal Assistant to BODs, or relevant experience.
• Minimum D3 qualification in secretarial major.
• Fluent in English.
• Proficiency in Office (Excel, Word, PowerPoint).
• Smart & fast learner.
• Strong communication and human-relation skills.
• Ability to make quick, smart business decisions.
• Outstanding organizational skills, excellent time management skills, ability to multitask while staying organized.
• Ability to work in a fast-paced environment with rapidly changing priorities.
