Export Sales Coordinator
About this position
Responsibilities
• Support the sales team to ensure smooth operations.
• Coordinate with internal and external departments to foster understanding and cooperation in various processes.
• Prepare documentation related to sales and post-sales activities.
• Prepare booking information and compile it for the Export Admin team to proceed with the necessary steps.
• Generate SO (Sales Order) in the system for all export shipments, including domestic sales shipments.
• Prepare and send approved PI (Proforma Invoice) & OI (Order Invoice), including coordinating other related matters, to the relevant departments.
• Coordinate sample requests and prepare related documents, including booking DHL services for the sales team.
• Create various documents in the system, such as complaints, NC (Non-Conformance) reports, expense approvals, requisition forms, early product release forms, or other approval documents.
• Monitor and verify the production plan, and check the finished product quantity to ensure it meets customer agreements.
• Coordinate with the factory to ensure timely delivery of products according to the customer’s requested schedule.
• Coordinate and arrange transportation, including booking trucks, ships, and airplanes, to ensure preparedness for loading and delivering products to customers.
• Prepare and follow up on the necessary export documents in accordance with customer requirements and conditions.
• Address and coordinate with relevant departments regarding customer complaints and post-sales issues.
Requirements
• Bachelor’s degree in Marketing, Business Administration, or a related field.
• At least 1 year of experience in Sales Support.
• Proficiency in English with strong communication skills.
• Knowledge of products/services and understanding of the processes within various departments that require coordination.
• Strong in problem-solving and decision-making/ communication and coordination/ attention to detail skills.
• Ability to manage multiple tasks simultaneously.
