Site Leader Assistant (1-year Fixed Term Contract)
About this position
Responsibilities
• Manage the Site Lead's schedule, including appointments, meetings, and travel arrangements.
• Handle incoming and outgoing formal correspondence, including emails, letters, and faxes.
• Prepare and submit reports, presentations, and other documents as required.
• Maintain and update the Site Lead's records, files, and databases.
• Coordinate with other departments to ensure smooth operations.
• Assist site travel arrangements including Visa, work permits, bookings, etc.
• Handle expense claims and reimbursements.
• Provide backup assist in responding messages and directing message as appropriate.
• Provide customary support for the visitors Site Lead’s guests.
• Organize and coordinate meetings, including scheduling, preparing agendas, and taking minutes.
• Prepare and distribute meeting materials.
• Assist the GA Operation in organizing and planning company events and functions.
• Communicate effectively with internal and external stakeholders, both verbally and in writing.
• Maintain confidentiality of sensitive information.
• Provide excellent customer service to both internal and external clients.
Requirements
• Proven experience as a secretary or administrative assistant.
• Strong organizational and time management skills.
• Excellent written and verbal communication skills.
• Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
• Attention to detail and accuracy.
• Ability to multitask and prioritize tasks.
• Strong interpersonal skills and the ability to build relationships.
• Positive and proactive attitude.
• High level of discretion and confidentiality.
• A relevant qualification in secretarial studies or business administration.
• Experience in a manufacturing or industrial setting is preferred.
• Knowledge of industry-specific software and systems.
