Office Building (Manager)
About this position
The Office Building Manager is responsible for overseeing the daily operations, maintenance, financial management, tenant experience, health and safety, and reporting of the property to ensure optimal performance and tenant satisfaction.
Responsibilities
• Oversee the daily operations of the property, including common areas, facilities, and building systems.
• Develop and implement property policies and procedures to ensure smooth operations and tenant satisfaction.
• Enforce lease agreements, handle tenant inquiries or complaints, and manage tenant relations.
• Coordinate move-ins, move-outs, and handle lease renewals or terminations.
• Ensure compliance with all applicable building codes, regulations, and safety standards.
• Develop and maintain preventative maintenance plans and schedules for the property.
• Coordinate and supervise building repairs, renovations, and routine maintenance activities.
• Manage relationships with vendors, contractors, and service providers.
• Conduct regular inspections of the property to identify maintenance needs and ensure cleanliness and orderliness.
• Assist in the preparation and management of the property's budget.
• Monitor expenses and income, and ensure cost-effective operations.
• Collect rent, maintain accurate financial records and manage delinquencies or payment issues.
• Review and negotiate contracts for property services and maintenance.
• Respond promptly and professionally to tenant needs, inquiries, and complaints.
• Establish and maintain positive relationships with tenants through regular communication and tenant appreciation programs.
• Organize and oversee tenant events or services to enhance tenant experience and community engagement.
• Ensure the building meets all safety and security standards, including fire codes and emergency procedures.
• Implement and monitor security systems, access control, and surveillance systems.
• Coordinate safety training for tenants and staff.
• Respond appropriately to emergencies or incidents in the building.
• Prepare regular reports on the building's operational and financial performance for the property owner or management team.
• Compile data on maintenance activities, tenant issues, lease renewals, and financial metrics.
• Analyze and interpret the data to identify trends, opportunities, and areas for improvement.
• Provide recommendations to the property owner on optimizing building performance, enhancing tenant satisfaction, and achieving financial goals.
• Present reports and insights to the property owner or management team in a clear and concise manner.
Requirements
• Bachelor's degree in business administration, real estate, property management, or a related field (preferred)
• Minimum 3 years proven experience in property management, building operations, or related roles
• Strong knowledge of building systems and maintenance requirements
• Excellent organizational and time management skills
• Exceptional communication and interpersonal skills
• Proficiency in property management software and MS Office suite
• Understanding of lease agreements, property laws, and regulation compliance
• Strong problem-solving and decision-making abilities
• Ability to work independently and within a team.
