About this position

We are looking for a detail-oriented and proactive Office Administrator to support the smooth operation of our office and administrative functions. The ideal candidate will be responsible for maintaining an organized workspace, coordinating office activities, and providing support to employees and management.

Responsibilities

• Setting up mail distribution system (U.S. mail, Federal Express, UPS, etc.) and package deliveries, maintain and monitor telephone & internet usage service, and parking bill payments.
• Provide administrative support and maintain office policies & procedures for daily office operations.
• Perform clerical or administrative tasks as assigned.
• Manage access cards for office and parking facilities.
• Coordinate announcements and communications from the office building or external stakeholders.
• Manage maid and ensure the functionality & cleanliness of office equipment and spaces, including:
• Furniture and fixtures.
• Printing equipment (maintenance, ink monitoring).
• Air conditioners and carpets.
• Manage document shredding and recycling processes.
• Monitor and replenish office supplies, including
• Stationery and general supplies.
• Kitchen items (water, snacks).
• Coordinate travel and accommodation arrangements for employees and expatriates, such as:
• Air tickets, hotel bookings, and car rentals.
• Travel insurance and mobile roaming services.
• Prepare and process employee expense reports:
• Generate and audit reports.
• Submit for approval through internal systems.
• Assist with preparing work permit and visa documentation for employees.
• Manage petty cash transactions and mileage reimbursements.
• Support finance tasks, such as depositing checks and scanning documents.
• Plan and execute company events, organizing lunch meetings, project dinners, team-building activities, and company outings.

Requirements

• Bachelor's degree in any field
• At least 5 years’ of proven experience in Administrative department in the manufacturing industry or related field.
• Strong organizational and time-management abilities.
• Excellent verbal and written communication skills in both Thai and English. Good Command in English will be special consideration.
• Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
• Ability to handle multiple tasks and prioritize effectively.
• Ability to work independently as well as part of a team.
• Strong numerical skills with the ability to review and verify financial data accurately, including reimbursement claims.
• Flexibility and adaptability to handle changing tasks and priorities.
• Proactive and self-motivated with a keen eye for detail.
• Professional demeanor and strong interpersonal skills.
• Trustworthy and capable of handling sensitive information with discretion.
