About this position

This position is responsible for providing secretarial, clerical and general administrative support related to internal and external customers (vendor, customer, etc.), to ensure that office services are provided in an effective and efficient manner.

Responsibilities

• Answer all incoming calls and handle caller’s inquiries whenever possible.
• Re-direct calls as appropriate and take adequate messages when required.
• Receive, direct and relay telephone messages and fax messages.
• Greet, assist and/or direct the clients/customers/vendor/guests/visitors/AC employees.
• Receive, direct and relay telephone messages and fax messages.
• Receive, sort mail, deliveries and keep documents/packages details on logbook.
• Maintain the reception area should be cleaned, neat and tidy.
• Ensure knowledge of staff movements in and out of organization.
• Ensure receptionist communication & availability during working hours.
• Ensure taxi voucher availability on reception and keep the voucher number recipient on logbook.
• Monitor and order pantry stock items based on daily consumption review such as coffee/tea station, coffee beans, fresh milk, mineral water, medicine, tissue, soap refill etc.
• Daily coordination with vendor as per inquiry.
• Flower, parcel, and baby gift arrangement as per inquiry.
• Room meeting arrangement.
• Company letters arrangement.
• Company event arrangement.
• Purchase order and invoice process.
• Daily GA Coordination with Security and Office Boy for office services such pantry stock items, vendor visit arrangement, office monitoring and maintenance, secure parking etc.
• Perform facility management activities and oversee the matters tied to the facilities on site.
• Security and office boy team schedule arrangement.
• Perform smooth collaboration and communication within HR Division and internal company.
• other tasks as required based on day-to-day condition and urgency.

Requirements

• Min. Diploma 3 (D3), bachelor’s degree would be an advantage.
• English is a must.
• Pleasant personality, energetic and able to standby during afterhours.
• Able to work both individually and as a team player.
