The Administrative Specialist is responsible for providing administrative support to various departments within the company. This includes managing calendars, coordinating meetings, handling correspondence, and maintaining office supplies. This position reports directly to the Office Manager and works closely with other team members to ensure smooth operations and efficient workflow.
Responsibilities of Administrative Specialist
• Managing and organizing all administrative tasks and processes within the company
• Coordinating and scheduling meetings, appointments, and travel arrangements for executives and staff members
• Handling incoming and outgoing correspondence, including emails, phone calls, and mail
• Maintaining and updating company databases, records, and files
• Assisting in the preparation and distribution of reports, presentations, and other documents
• Monitoring and ordering office supplies, equipment, and inventory as needed
• Providing general administrative support to all departments and staff members
• Assisting in the onboarding process for new employees, including paperwork and orientation
• Managing and maintaining office facilities, including coordinating repairs and maintenance
• Assisting with special projects and events as assigned by management
